「CLOSED」HR cum Admin Executive – Cyberjaya (Ref ID: 12674)
・Handle general queries from employees / interns
・Coordinate Admin projects (meetings, training, anniversary, surveys etc)
・Copy, scan and store employees / interns documents, letters and certificates for physical filing records
・Distribute outgoing email for reply based on level of queries
・Develop employment contracts content and additonal letter requests
・Creating new accounts registration (InfoTech & Worksy)
・Managing access permissions (InfoTech & Worksy)
・Processing employee data like leaves entitlement and other benefits (InfoTech & Worksy)
・Update internal databases with employee’s basic information (InfoTech & Worksy)
・Oversee employee daily attendance (InfoTech & Worksy)
・Oversee employee claim submission is complying with claims benefits and its policy (InfoTech & Worksy)
・Oversee employee changes of other information records (InfoTech & Worksy)
・Maintain HR material and induction/onboarding slides
・Handle Payroll
・Handle employment letter approval and signatures from CEO
・Monitor of the expiry dates of all registered work pass applications (EP/DP/SPass/) under company
・Apply work pass applications (EP/DP/SPass/) upon receiving 3 months in advance reminder (via online)
・Submit the passport for work pass endorsement/renewal/termination (EP/DP/SPass/) procedure and other supporting documentation (walk in)
・Monitor the work pass applications (EP/DP/SPass/) status including making copies for employee’s records
・Assist to register personal income tax file for foreign employees who receive employment income
・Manage and monitor foreign employment contract / renewal / termination
・Organize and provide documents, reports and information in People and Culture Google shared drive
・Maintain confidentiality around sensitive information and terms of agreement
・Manage the flow of documentation within the organization and department
・Arranging both internal and external events joined by the company/staff
・Review and update technical documents (e.g. handbook, manuals and workflows)
・Handle queries from managers/supervisor
・Develop company materials for employees (e.g. memo, handbook and safety guidelines)
・Publish company materials for employees (e.g. memo, handbook, SOP guidelines) in HR Room & InfoTech
・Update and maintain office policies and ensure compliance within employees (e.g. HR briefing session)
・Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc)
・Deal with employee requests regarding human resources issues, rules, and regulations
・Create awareness and distribute guidelines and FAQ documents about company policies
・Prepare reports and presentations on HR-related metrics (e.g. monthy HR manning)
・Overseeing all staffing needs and operations of the company upon request
・Bridging management and employee relations by addressing demands, grievances or other issues
・Oversee and manage a performance appraisal system, database and workflow
・Exporting regular and ad hoc reports from internal databases (e.g. hiring / turnover reports)
・Manage internal communication projects (e.g. TeaTalk, training evaluation, job satisfaction surveys)
・Degree / Diploma in any
・1-2 years for Junior level, 3-5 years for senior level in HR related jobs
・Payroll experience
・Have strong leadership, active learner
・Independent person (since this position is WFH)
・Able to communicate well in Mandarin & English
